User Accounts

Users and their data are managed via user accounts in the administration. In the user account data and properties of a user can be set, which are available at different places in ONTRAM. An overview of the user accounts can be found in the menu Administration > User Management > User Accounts.

Property Description
Status Active users can login into ONTRAM. Inactive users can not.
Last name The last name of the user.
First name The first name of the user.
Organization The organisation of the user.
User name The user's login name. The login name is required when logging in into the system.
New password The user's password. For security reasons, the password is not visible.
Email The user's email address.
Phone The user's phone number.
Gender The gender of the user. If the user is generic or a company, Company can be selected.
Language The language of the user's interface.
Description An additional description for the user.
Source languages The source languages that the user is allowed to view and edit.
Target Languages The target languages that the user can see and edit.
Authorisation profile

The authorization profiles of the user.

Work groups

The user's work groups.

Substitutes

Other users who may represent this user.
Note: For further information, see the paragraph on "Representations".

Create a user

  1. Click Administration > User Administration > User Accounts .
  2. Click Create user in the menue bar. The user account opens up.
  3. Insert user data.
  4. Click in the toolbar.

Result: The new user will be created.

Edit user data

  1. Click Administration > User administration > user account.
  2. Click next to a user. The User Profile window opens.
  3. Insert user data.
  4. Click in the toolbar.

Result: The new user will be created.

User search

The user search lets you browse through user data. Complete words as well as word fragments may be typed into the search mask. The following columns will be considered by the search:

  • First name
  • Last name
  • User name
  • Organisation
  • Email address
  • Phone number

Search for users

  1. Click Administration > User administration > User accounts
  2. Enter the search term in the search field of the toolbar.
  3. Press ENTER.

Result: All users that match your search criteria are displayed.

Organisations

Often a lot of users belonging to different organisations are working in the system. For a better overview the user profile of a user can be assigned to an organisation. The organisation is displayed in some reports.

Create organisations

  1. Click Administration > User administration > organisations
  2. Click New organisation in the toolbar.
  3. Enter Name
  4. If required, users may be added to the organisation.
    1. Users while holding down the CTRL or CMD key in the Available Users area.
    2. Click Assign .
  5. Click Organisation save

result: The organisation was created.

Edit organisation

  1. Click Administration > User administration > Organisations.
  2. Click next to an organization.
  3. Edit name or type.
  4. Click Organisation save.

result: The organisation was changed.

Delete organisations.

  1. Click Administration > User administration > Organisations.
  2. Click next to an organization. A security prompt appears.
  3. Click OK to confirm the security query.

result: The organisation was deleted.
