Offline Word can be used to translate or correct jobs without having an Internet connection.

The offline Word file is generated in the Offline Translation job menu and can be downloaded after generation in the footer. Editing an offline Word file must be done with MS Word. After editing, the file can be uploaded again in the Offline Translation menu.

Source and target language The texts from source language and target language are displayed. A normal translation job where it is important to compare the source and target languages.
Traget language only Only target language is displayed Suitable for editing in target language
Source language only Only the texts of the source language are displayed. There is only one input field per segment in the offline word file. The source text is overwritten by the translation.
Source, target and auxiliary language The texts from the source and target language as well as an auxiliary language are displayed. A translation job where it is important to compare source and target language with each other and at the same time to know how texts have been translated in another language.
Optional: select auxiliary language If source, target and auxiliary language was selected, the desired auxiliary language needs to be selected. All the job’s target languages are available. Mandatory field, if source, target and auxiliary languages have been selected.
Optional: add TM suggestions Translation suggestions from the translation memory are displayed below the texts. Important, if translation suggestions from the translation memory are to be used.

Export Offline Word file

  1. Log into a job.
  2. Click menu Offline Translation
  3. Configure view options in the column Offline Word File
  4. Click Generate offline Word file . The offline Word file is generated. After successful generation, a download link appears in the generation bar.
  5. Click in the Generation bar and save file locally and unzip it.

Result: offline Word file was downloaded and can be opened and edited.

Offline Word editing

When editing, it is important to change content only within the fields provided for this purpose. If fields are not to be imported into ONTRAM, the drop-down to the right of the segments can’t be set from Translated to Not Translated .

Note: Copying and pasting from external sources, using the change tracking function, manipulating the table structure or changing content outside the fields intended for editing may cause problems in ONTRAM or the file cannot be imported back.

Edit offline word file

  1. Open file with MS word
  2. Depending on configuration, translate or edit fields in the target language segments.
  3. Save file

Result: job was translated or edited and can be re-imported into ONTRAM.

  1. Log in to the job from which the Offline Word file was generated
  2. Click the Offline translation menu.
  3. Select Offline Word file and click Upload
