Exporting Files

Jobs can be exported with the current status of the target language. Availability of export options depends on the job’s document type, filter profile, and user authorizations.

The Export function differentiates between a Preview and an actual Export.

  • In an Export the original files are generated with the current contents of the target language.
  • Depending on the kind of source document (e.g. Adobe InDesign, Microsoft Office 2007, HTML), the Preview function can generate a browser display, a PDF file or an export of the original files.

Some Filter profiles have additional Export and Preview settings.

Generating an Export

  1. Go to the tab of the Job and click on the Preview/Export menu.
  2. Select the Content part to be exported from the Export table.
  3. Make the desired Settings in the Export table.
  4. Click Generate Export .

Result: The files are generated with the selected settings. When generation has been completed, a link to the generation is displayed in the generation bar at the bottom of the window.

Note: The settings available for Export vary depening on the kind of source document and the Filter profile used when the Job was created.

Generating a Preview

  1. Go to the tab of the Job and click on the Preview/Export menu.
  2. Select the Content Part in the table Preview .
  3. Make the desired Settings in the Preview table.
  4. Click Generate preview .

 

Result: The files are generated with the selected settings. When generation has been completed, a link to the generation is displayed in the generation bar at the bottom of the window.

Additional Export Functions

You may be able to select other or additional functions for the Export or Preview of certain document types. These additional functions depend on the configuration of ONTRAM and the type of document created in the Job.

Examples:

  • Author's corrections can be marked for the Export of InDesign documents.
  • Texts with 100% Translation Memory can be marked in a Preview.

When additional Export functions are available they are automatically displayed in the Preview/Export menu during Job editing.

File Names for Export

ONTRAM assigns all Exports a name. The name is comprised of the Job number, the Job name, the Job part name, the language abbreviation and the Export type.

Note: If a file name is too long, some operating systems cannot access the file. Job names and Job part names longer than 12 characters are thus shortened in the Export file to 9 characters followed by 3 dots.

Generations

Exports of every kind are created by ONTRAM for subsequent downloading by the user. This process is called generation.

Generation takes place in the background so that the user can continue working with ONTRAM while the files are being generated. Once a generation has been concluded, a download link is displayed in the generation bar. Clicking on this link will download the currently generated files. The link always displays the most recent generation. The files generated can be previews or exports.

Clicking on the hourglass next to Generations in Progress opens a pop-up that shows which generations are currently being processed by ONTRAM. When the folder icon at  Generations completed is clicked, all completed generations are listed in a pop-up. The list of generations can be filtered  by date and generation type. By clicking on the file icon for a generation the generation result can be downloaded. Depending on the kind of generation, the file icon may just be a link.

Opening a Generated File

  1. Click the folder icon next to Generations completed in the generation bar in the bottom left corner of the screen as soon as generation is complete. The list of files generated appears in a pop-up. The last file generated appears at the top of the list.
  2. Click the document icon in the Result column.

Result: You can open the exported file or download and save it. The highlighting specified under Settings is contained in the document. If  only one file was exported, this one can be opened directly after the Export has been completed by clicking on the file icon. The icon is located in the generation bar next to the notification about the generated Export file.
