Translation Memory (TM)

The TM has the task of making identical or similar translations from translated texts available for other Jobs. Using the Translation Memory allows great savings in time and costs for current translations.

To use TM in a target job, certain prerequisites must be met. There is a distinction between the target job using the TM, and the memory job (or memory group) from which the TM originates.

Prerequisites to Use TM

  • Translation Memory must be configured in the global settings.
  • Translation Memory must be activated in the Job Settings.
  • The TM Group must be specified in the Target Job via the TM matrix. When a Hierarchy Group is selected, the TM from all lower-level groups is used.
  • A TM update in the memory job must have taken place.
  • The TM-Match and TM-Comparison must have been running in the Target Job.
  • The source language and target language must be identical in the Target Job and in the Memory Job.

TM Update Function

TM update as automatic action

Target language segments can be imported into the TM database so that they are available for other translations.

The function is called TM-Update.

By default, the TM-Update of the target language segments of a job is configured via an automatic action on the workflow.

At which steps in the workflow the automatic TM-Update can be defined individually by the customer when creating the workflow.

Manual TM-Update via the administration

If an unscheduled TM update is required for one or more languages of a job/job part, this can also be done manually via the administration.

To do this, you navigate to a job part.

  1. Navigate to a job via administration
  2. Click on a Job part.
  3. You see the languages created for this job part
  4. On the toolbar, click Automation 
  5. Choose the wanted function, here: hook the checkbox for TM update in the End area
  6. Under Language selection select the languages for which you want to execute the TM update
  7. Click the Start selected actions button

Result: The language pairs of the job are added to the TM database and are available for other jobs as pre-translation

Manual TM update by the user in the started job

Users with authorization “Job Processing: Use Updated TM in Started Job” can re-update TM content for started jobs without needing access to administration. The menu item Memory Import is available to the user in the navigation menu of a job.

  1. Open a job via the jobs tab
  2. On the left side there is a menu with different functions
  3. Select the Translation Memory menu
  4. Choose the function TM Update
  5. Click the Perform Action button (with or without e-mail notification of the status)

Result: The language pairs of the job are added to the TM database and are available for other jobs as pre-translation

Use of updated TM in launched job

Users with authorization “Job Processing: Use Updated TM in Started Job” can re-update TM content for started jobs without needing access to administration. The menu item Memory Import is available to the user in the navigation menu of a job.

The TM leveraging view is divided into two sections:

  • History of translation memory imports provides an overview of the TM imports executed so far for this job.
  • Start a new TM leveraging provides a selection of options for the TM import.

Start new Translation Memory Leveraging

  1. Open a job via the jobs tab
  2. On the left side there is a menu with different functions
  3. Select the Translation Memory menu
  4. Select the function TM leveraging
  5. Activate checkbox TM leveraging and select desired options (see below)
  6. Click the Perform Action button (with or without e-mail notification of the status)

Result: The latest pre-translations are now available in the job.

Following options are available:

  • TM matching on segment list basis: TM contents according to the group settings of the current job are imported.
  • 100% -TM pre-translation, overwrite existing content : this setting overwrites occupied segments with 100% matches.
  • 100% -TM pre-translation, do not overwrite existing content: This setting does not override occupied segments with 100% matches.
  • No 100% TM default: 100% matches are suggested but not entered in the target language segments
